For mediators

ADR software for mediators who run their own matters.

Family, commercial, workplace — the disputes differ, but the admin pattern is the same: parties to coordinate, forms to collect, documents to organise, fees to split, lawyers to keep informed, and a session date that cannot slip. Add live booking to your website, run structured intake and reminders, and spend more time on the mediation itself — whether you practise solo or with colleagues.

If this sounds like your week, you are not alone.

What changes when admin runs itself

Running a panel with colleagues? See multi-mediator Practice features. For the full workflow map, see our mediation case management software feature list.

Explore the platform

Purpose-built mediation and ADR software — case management, integrations, vertical workflows, and honest comparisons. These pages hold the deepest product detail on this site.

Optional staff-only AI

Session prep without the admin scramble

When you enable it, staff-only AI helps spot intake gaps, summarise case context, build prep packs, draft proactive chase emails, compare party positions, and draft enquiry replies — always reviewed before anything reaches a party. Disabled by default; parties never see AI output.

Your website

Turn “contact us for a date” into live booking

Most mediator websites still end with a contact form — then you negotiate times by email. Neutly lets parties book straight from your site: see real availability, choose a session type, and confirm a time without leaving your professional presence.

What parties see today

  • Fill in a contact form and wait for a reply
  • Email back and forth to find a time that works
  • No visibility of fees or session types upfront
  • You manually check your diary before every reply

What parties see with Neutly

  • Live calendar on your website — only open times shown
  • Session length, fees, and accreditation before they book
  • Panel sites: choose the right colleague, then pick a time
  • Confirmed booking triggers intake — not another inbox thread

Live in minutes — no web project required

  1. Step 1

    Copy from Appointments

Open Appointments in your account and copy the ready-made booking block for your personal page or practice-wide link.

  2. Step 2

    Add to your website

Paste it on a “Book a session” page, your contact page, or panel site. Most website builders support this out of the box.

  3. Step 3

    Parties book — you prepare

They choose a time on your site. You receive a confirmed matter and the usual intake, payment, and reminder workflow begins automatically.

Included on Solo and Practice — not a paid add-on.

Your booking page shows your practice name and live availability. When you add it to your website, parties complete the same steps as on the standalone page — choose a mediator on practice-wide links, pick a date and time, then enter their details. Copy the ready-made block from Appointments; no custom development required for a standard setup.

Find a mediator

Find accredited mediators accepting new matters

Search listed mediators by practice area, accreditation, and country. View a public profile for each listed colleague — photo, credentials, and practice areas — save favourites to a shortlist, then book on their personal page or your practice-wide link.

The public mediator directory is optional on Practice. Listed mediators get a public profile page with photo, bio, credentials, and practice areas. Parties can browse, save favourites to a shortlist, then book via that mediator’s personal page or your practice-wide booking link — where they choose a panel member when several colleagues are bookable. It helps discovery for private matters; it is not a court neutral-selection service.

Mediation workflow

Five steps from booking to post-mediation close.

Once parties agree on you as mediator and a date, Neutly carries the dispute resolution workflow from preparation through outcome recording — in person, virtual, or hybrid.

  1. 01

    Book

A party books through your public page — on your website or via a shared link. They can find you in the directory, view your profile, and book from there. On a practice-wide page, they choose their mediator first. Waitlist and enquiry flows are available when you need them.

  2. 02

    Confirm

Every non-booking party agrees to participate and verifies their email. Everyone receives the same clear information — preserving fairness and process integrity.

  3. 03

    Prepare

Parties complete intake forms and upload documents at their own pace. Fee requests go out. Reminders follow up automatically on anything still outstanding.

  4. 04

    Session day

Location, video links, waiting room and caucus URLs sent to all participants. Calendar invites included. You arrive knowing parties are prepared.

  5. 05

    Close

Record the outcome, send final correspondence, and keep confidential notes on the matter file. Parties can still access their matter summary via secure link — and book a follow-on session when needed.

Features

Mediation document management, deadlines, and matter records.

Built for independent mediators and multi-mediator ADR practices (up to four mediating seats per Practice account) running private matters — with optional directory listing, lawyer portal, co-mediator support, and multi-party workflows on Practice.

Your own booking page

A dedicated page under your practice name — share the link in emails, or add the same booking experience to your own website. Parties see your accreditation, session types, fees, and live availability before they choose a time.

Booking on your website

Add your calendar and booking flow directly to your practice website — on a “Book a session” page, contact page, or panel site. Parties stay on your site while they choose a mediator (if you run a panel), pick a date, and enter their details. Copy the ready-made block from Appointments and paste it where your web person needs it.

All parties, equally informed

Every non-booking party confirms they agree to mediate and verifies their contact details. Automatic reminders keep everyone aligned — for two-party matters or up to six principal disputants on Practice.

Pre-mediation intake and documents

Parties complete intake forms and upload position papers through a secure link in their email. Track what is still outstanding before session day. They can save progress and return later — no passwords, no accounts.

Party return portal

After booking, parties can revisit a secure matter page anytime — check preparation status, outstanding tasks, uploaded documents, payment status, and session logistics without calling your office.

Fees collected your way

Send payment requests, split fees equally or custom between parties, designate a single payer, or mark fees paid manually. Offer a complimentary intro session on your booking page, apply promo codes at booking, or run gift vouchers on Practice. Money goes directly to your practice via Stripe Connect — we never hold client funds.

Flexible scheduling and reminders

Interval availability, multiple session lengths, tier pricing, and session kinds — including complimentary introductory sessions. Hold tentative enquiry slots, join a waitlist when full, and connect Google Calendar or Outlook — external busy times block overlapping slots, and confirmed sessions write back to your calendar. Automatic reminders chase outstanding payments, documents, and upcoming sessions — with optional AI-drafted proactive chase emails you review before sending.

Follow-on sessions

When parties need another session on the same matter, send a secure follow-on booking link — they pick a new time without re-entering case details or starting admin from scratch.

Matter file with audit trail

Reschedule, cancel, or mark a matter complete. When parties have paid, cancellations follow your policy — with partial retains where agreed, card refunds, and confirmation emails so everyone knows what to expect. Record the outcome, send confirmation letters, export revenue, and keep encrypted confidential notes secure. One record with matter history from open to close.

Lawyer updates without the phone tag

Referring solicitors get a read-only portal with matter status, a timeline of key events, secure brief upload, matter pack and proof-of-service exports, and an AI-generated matter summary when your practice has run one — without calling you for every update. Available on Practice.

In-person, virtual, or hybrid

Set session location, waiting room links, and separate caucus room URLs per party. Use your preferred video platform — add links once and parties receive them in session confirmation and calendar invites.

Multi-mediator practices, one account

Invite up to three colleagues on the Practice plan. Each mediator gets their own booking slug and Stripe Connect account. Run co-mediator matters with shared case access.

Grow your reach

Opt in to the public mediator directory on Practice — each listed colleague gets a profile page with photo, pitch, credentials, and practice areas. Parties browse, shortlist favourites, then book via a personal page or your practice-wide link. Panel registry deep-links to mediator profiles are available on the Panel plan.

Court and firm workflows

Record court referral details, track trust deposits (internal workflow — not trust accounting), and export outcome data for registries — alongside standard private booking. Panel registry deep-links and institutional volume are on the Panel plan.

Staff-only practice AI

Optional AI for mediators and practice administrators — practice copilot, intake briefs, downloadable session prep packs with AI timeline narratives, proactive chase drafts, readiness insights, and enquiry reply drafts. Opt-in, disabled by default, human review on every output. Parties never interact with AI.

Conflict clearance

Record conflict checks on parties and representatives, flag blocked matters, and clear conflicts with an audit trail before the matter progresses — so panel principals can demonstrate process without a separate spreadsheet.

Matter tasks and smart defaults

Track staff tasks per matter with due dates and assignees. When a matter activates, default tasks from your practice template appear automatically — customise templates once, then let every new matter start with the same professional checklist.

Typed acknowledgement

Send agreement and consent documents for parties to acknowledge by typing their name on a secure link. Status is tracked on the matter record alongside uploaded position papers. This is not a DocuSign-class e-signature platform.

Document templates

Maintain a library of reusable document and agreement templates in Account — fee arrangements, consent forms, and practice-standard wording — ready to attach or send without retyping from last month’s matter.

Financial insights

Revenue KPIs, AR aging, trends, and breakdowns by mediator, session kind, and fee basis — in your practice currency and timezone. Practice administrators see firm-wide party fees; mediators see assigned matters. Download CSV for your accountant; platform subscription stays separate from party revenue charts.

Outcome reporting

Filter outcome statistics by date range, mediator, matter type, and result — useful for panel reporting, registry returns, and practice principals who need visibility across colleagues without exporting spreadsheets.

Data retention controls

Configure how long closed matter data is retained and request confidential data purge when your obligations allow — with audit logging so compliance decisions stay on the record.

Accounting integrations

Connect QuickBooks Online (worldwide), Xero, or MYOB from Account → Integrations on any plan — push paid session fees to your books in your practice currency when party payments clear. Reduces double entry alongside Stripe Connect payouts; platform subscription billing stays separate.

Practice relationships and CRM

Track referring firms, contacts, and organisations alongside your matters — log activities, link enquiries to bookers, detect repeat clients, and see referrer intelligence on Insights. Not a generic CRM pasted onto mediation.

Enquiry inbox

Incoming enquiries land in a staff inbox — assign to a mediator, convert to a hold or booking, and link the booker to your relationship directory. Per-mediator filters on Practice keep panel intake organised.

Commercial invoicing

Issue post-session invoices with branded PDFs and secure payment links — hourly templates and overdue reminders. Complements booking-time Stripe Connect fees for lawyer-referred and corporate matters (Practice).

Document inbox and upload alerts

See new party and representative uploads in one feed — with email and in-app notifications, batched digests, and deep links straight to the matter document. Selective matter pack export when you need a filtered ZIP.

Session capacity by session kind

Cap daily bookings by session kind and see utilisation on Financial insights — so panel principals can protect prep time for full-day commercial matters without closing the whole calendar.

Smart integrations

Connect Google Calendar, Outlook, and Zoom through a guided setup wizard — busy times block booking slots, confirmed sessions write back, and Zoom meetings can auto-create on book. Integration health alerts when sync fails.

Waitlist auto-offer

When a slot opens, waitlisted parties receive an automatic offer to book — reducing manual coordinator work when calendars shift.

Branded party journey

Public booking, consent, onboarding, payment, and matter return flows carry your practice branding — with a clear matter timeline parties can revisit via secure link.

Practice webhooks and API

Register webhooks for matter lifecycle events on Practice — HMAC-signed delivery with retries. Combine with the public booking API for panel sites and registry integrations.

Party fees are collected through Stripe Connect and go directly to your practice. Neutly never holds client money. Platform subscription (Solo or Practice) is separate from party fee collection. When a matter is cancelled or fees are reduced after payment, your practice initiates refunds; parties receive clear emails at cancellation and again when a card refund is confirmed. Refunds are staff-managed — parties cannot self-serve refund requests.

Virtual and hybrid sessions use your preferred video platform — waiting room and caucus links are distributed from the matter file. Neutly does not host live video; it coordinates links and session-day comms.

Court referral fields, trust deposit tracking (internal workflow — not trust accounting), and outcome export are available today. Panel registry deep-links and institutional volume workflows are on the Panel plan — contact us if that is your primary channel. Full automated registry filing is not claimed.

Independent mediator questions

Can I add booking to my mediator website on Solo?

Yes. Solo includes your personal booking page and the option to add it to your website from Appointments. Parties see live availability, session types, and fees before they confirm a time.

Do I need Practice to run family or commercial matters?

No for standard two-party private matters — Solo covers booking, intake, documents, fees, and session logistics. Practice adds multi-party disputes (up to six disputants), co-mediator cases, the lawyer portal, directory listing, and panel features.

How long does setup take?

Most solo mediators publish a booking page and send their first party link within a day. Copy your website booking block from Appointments, connect Stripe Connect for party fees, and configure session types in your availability settings.

Is there a free trial?

Yes — Solo includes a 14-day trial with no card required upfront. Explore booking on your website, intake, reminders, and matter management before you subscribe.

Can parties return to check their progress?

Yes. After booking, each party can revisit a secure matter page via email link — preparation status, outstanding tasks, documents, payment status, and session logistics without creating an account.
